Act of Acceptance for service work: how it fits into a freelancer document flow

For service work, an Act of Acceptance is often used to document that a service period or deliverable has been accepted. In a recurring workflow, it usually sits between the Agreement and the Invoice as part of the same business document pack.

Connect it to the same service period

The Act should match the work period and service description used in the related agreement and invoice. If the invoice says one period and the Act says another, the client may ask for corrections before processing the documents.

A document bundle prevents that by generating all related documents from the same monthly record or service data.

Keep language consistent

Service descriptions should be consistent but not unnecessarily long. A short, clear description is easier for the client to review and easier to reuse in future periods.

If the service description changes before the document is issued, regenerate or refresh the draft. Once issued, the document should remain a snapshot.

Track acceptance status

After sending the pack, the user needs a simple way to mark whether documents were signed or accepted. This is not a replacement for legal review or an e-signature provider, but it keeps the operational status visible.

Quick checklist

  • Service period matches the invoice period.
  • Client and provider names are consistent.
  • Service description is clear.
  • Signature or acceptance block is visible in PDF.
  • Signed or accepted status can be tracked after sending.
