How to send commercial documents to a foreign client without losing track
Preparing a document is only half of the workflow. The real business task is to send the right document pack to the client, keep a record of what was sent and track whether it was signed, accepted or paid.
Send the final pack, not draft fragments
Before sending, check that the bundle is ready: provider details, client details, service period, amounts, dates, bank account and PDF layout. Draft fragments can confuse the client and create extra corrections.
A ready bundle should be easy to export, email or share through a secure link.
Keep delivery history visible
Once a document pack is sent, the user should not have to search through mailbox threads to remember what happened. The bundle should show whether it was sent and which status it has now.
Separate signing status from payment status
A document can be sent but not signed. An invoice can be signed or accepted but still unpaid. Keeping lifecycle status and payment status separate makes the dashboard more useful.
